In today’s digital world, physical files and documents have mostly been replaced by their digital counterparts. The transition to storing and sharing information in digital format has become the new norm. As more data becomes available, finding the correct data becomes increasingly challenging, leading to workers spending a significant portion of their work time searching for the correct information. To make storing and finding information easier, some businesses opt for a document management system.
M-Files Corporation is a Finnish software development company that produces a metadata-driven document management web application called M-Files web. Searching for information is an essential part of any document management system, including M-Files web. M-Files Corporation is investigating ways of improving the search functionality in M-Files web, which could be done by implementing advanced search conditions. To study this, M-Files Corporation wants to investigate how advanced search capabilities could be implemented in M-Files web and which common guidelines should be considered in the final implementation.
To investigate the issues M-Files is facing, a case study is conducted using Design Science Research Methodologies by Peffers et al. In this case study, advanced search conditions are implemented in M-Files web. The implementation allows users to add metadata-based filters to their search, which allows for more effective and accurate information retrieval.
Several guidelines were determined from this case study, which could help M-Files or any other business attempting a similar implementation. The guidelines include using React for implementation, providing a simple and interactive UI, optimizing for speed, focusing on achieving objectives and considering accessibility.
